Volunteer


Applications to volunteer at the 35th Veg Food Fest are now open! Please make sure to read the full position details below before submitting your application.

Volunteers will be asked to attend one of three training sessions, so please mark your calendar before applying! Available dates are: Monday, August 12th 6 to 8 pm, Wednesday, August 21st 6 to 8 pm, and Saturday, August 24th 10:30 am to 12:30 pm.

PRE- AND POST-EVENT OPPORTUNITIES

Bookstore

BOOKSTORE INVENTORY ASSISTANT

Duties: Updating spreadsheet of books to be ordered, including finding ISBN numbers, and determining local distributors. Placing and tracking book orders for the TVA bookstore.

Qualifications: Must have good attention to detail and communication skills. This position will be done from home. Expected commitment: 4-5 hours.

Timeline: To be completed within the first two weeks of July.


 

Event Services

DRIVER

Duties: Drive between Harbourfront Centre and our off-site prep kitchen, possibly grabbing last minute ingredients from the grocery store to save the day!

Qualifications: Must have a valid Ontario Driver’s License of G2 Class or higher. Must provide a vehicle such as a car or minivan, OR please let us know if you are comfortable driving a moving vehicle (such as a small U-Haul truck).

SET-UP LOADING CREW (Friday, September 6th)

Duties: Loading TVA display materials, books and merchandise from the TVA office into our cargo van. Unloading materials from our cargo van at Harbourfront Centre. Transporting materials to appropriate venues at Harbourfront Centre as marked on boxes and helping to set up TVA’s display tables and signage.

Qualifications: Must be able to follow instructions and perform moderate to heavy lifting down a flight of stairs. Must travel from TVA to Harbourfront Centre once loading is done at TVA in order to complete unloading at Harbourfront Centre.

TEAR-DOWN LOADING CREW (Sunday, September 8th)

Duties: Taking down and carrying TVA’s signage. Loading TVA display materials, books and merchandise from tables at Harbourfront Centre into our cargo van. Unloading materials from our cargo van at the TVA office.

Qualifications: Must be able to follow instructions and perform moderate to heavy lifting up a flight of stairs. Must travel from TVA to Harbourfront Centre once loading is done at TVA in order to complete unloading at Harbourfront Centre.

OFFICE ASSISTANCE

Duties: Assisting with ad hoc office help throughout the summer to prep for Veg Food Fest, such as preparing outreach materials and pricing books.


ON-SITE EVENT OPPORTUNITIES

Bookstore

BOOKSTORE MERCHANDISER

Duties: Be on site the afternoon of Friday, September 6th to lead the set up of the bookstore, including unpacking and shelving books and leading other volunteers. This position will also include a meeting with the Executive Director during the summer to receive guidance on the layout of the bookstore.

Qualifications: Must be self-directed, and able to work with minimal supervision. Experience setting up retail displays or other types of displays preferred.

CASHIERS

Duties: Processing payments for book sales and memberships at the TVA Bookstore, both cash and credit card payments. Clearly marking and recording all purchases.

Qualifications: Must be able to follow instructions, and be friendly and outgoing, and comfortable using Square on an iPad to process transactions. Cashier experience is an asset.

SALESPERSON (Must be vegetarian or vegan)

Duties: Helping shoppers select cookbooks and books, answering people’s questions about books and TVA membership, and directing them to the cash for payment.

Qualifications: Must have knowledge of the latest vegetarian cookbooks and authors. Must be outgoing and have excellent sales and customer service skills. Please be aware this position requires being on your feet for the duration of the 3 hour shift. Retail sales experience an asset.

MEMBERSHIP AMBASSADOR (Must be vegetarian or vegan)

Duties: Encouraging TVA bookstore shoppers to become a TVA member, assist them with completing their membership forms, and answering questions about the TVA.

Qualifications: Must be friendly and outgoing, have excellent customer service skills, and be knowledgeable about vegetarianism and the TVA.

BOOKSTORE CAPTAIN (Must be vegetarian or vegan)

Duties: Overseeing the TVA Bookstore for a full day or more at the Festival. Managing and mentoring other volunteers, answering questions about technical things such as processing sales, and ensuring that the shelves are well stocked. Ensuring that everyone is aware of the goals for the day and motivating other volunteers to reach those goals. Managing book signings in the Bookstore area.

Qualifications: Must have knowledge of the latest vegetarian cookbooks and authors. Must be outgoing and have excellent sales, customer service and communication skills. Must have experience volunteering at TVA outreach events.

Time Commitment Required: Bookstore managers are expected to commit to being on site at the Veg Food Fest for at least one full day. During that day, they will be expected to spend 30 minutes once every three hours at the bookstore when they will meet with the other volunteers, check if shelves need restocking, go over the goals and answer any questions volunteers have.


 

Cooking Demonstrations

COOKING DEMO FOOD PREP

Duties: Helping to prepare samples for cooking demonstrations, including washing and chopping ingredients.

Qualifications: Must be able to closely follow instructions and have experience, whether personal or professional, cooking and baking. Should have a love of cooking.

Please note: This position takes place during the Veg Food Fest weekend but may take place off site of the Harbourfront Centre. Exact location may be determined in August.

COOKING DEMO ASSISTANT

Duties: Helping distribute recipes, surveys and samples to the audience, possibly assist with plating samples. Taking directions from demo chefs or your captain about food prep, equipment needs, and other small tasks. Cleaning the cooking demo area and demo equipment in the cooking demo venue at the Food Festival. Helping cooking demonstrators with setup, tear down, audience seating, and all other items as needed.

Qualifications: Must be able to follow instructions and perform general cleaning tasks, including some light lifting.

COOKING DEMO CAPTAIN

Duties: Assisting the Festival Coordinator and taking the lead in organizing/orienting chef and production assistants, and managing book signings. Being on call for duties that come up throughout the day.

Qualifications: Experience working with cooking demos in the past, willing to commit to one full day (with breaks) in the cooking demo area.


 

Outreach

CHILDREN’S AREA ASSISTANT

Duties: This is an area dedicated to families and creativity. Assist families with crafts, workshops, and games. Supervising activities and children at play.

Qualifications: Experience with children, outgoing, creative, comfortable working with a team and in public.

TVA AMBASSADOR (Must be vegetarian or vegan)

Duties: Staff TVA tables where you’ll act as an ambassador, promoting the organization and provide information regarding the support we can offer vegetarians and vegans. Your primary goal is to encourage people to join TVA and become part of the community, and handle sales of membership donations, including processing payments.

Qualifications: Must be outgoing and have excellent sales and customer service skills. Great verbal communication skills, friendly disposition and be knowledgeable about vegetarianism and TVA. Must be vegetarian. Please be aware this position requires being on your feet for the duration of the 3 hour shift.

TVA AMBASSADOR BOOTH CAPTAIN (Must be vegetarian or vegan)

Duties: Taking a leadership role at the TVA table for a full day or more at the Festival. Meet volunteers at the beginning of their shift to review the membership ambassador training and ensure that everyone is aware of the goals for the day and motivating other volunteers to reach those goals. Meeting the volunteers at the end of their shift to debrief.

Qualifications: Must have experience volunteering at TVA outreach events, and have completed some form of TVA training. Must be outgoing, have excellent verbal communication skills, friendly disposition and be knowledgeable about vegetarianism and the TVA. Must be vegetarian or vegan.

Time Commitment Required: Booth captains are expected to commit to being on site at the Food Festival for at least one full day. During that day, they will be expected to spend 30 minutes once every three hours at the TVA booth, when they will meet with the other volunteers, go over the goals and answer any questions volunteers have.

VEGGIE CHALLENGE CREW (Must be vegetarian or vegan)

Duties: Explaining the Veggie Challenge to the public at the Food Festival and encouraging people to participate.  Provide information on the benefits of vegetarianism, and answer questions about TVA and a vegetarian diet. Handle sales of membership donations, including processing payments.

Qualifications: Must be vegetarian or vegan. Must have excellent verbal communications skills and a strong understanding of vegetarian and vegan issues. Volunteer must complete the veggie challenge at www.veggiechallenge.com before the festival. Please be aware this position requires being on your feet for the duration of the 3 hour shift.

VEGGIE CHALLENGE BOOTH CAPTAIN (Must be vegetarian or vegan)

TVA EXPERT (Must be vegetarian or vegan)

Duties: This is an “on-call” position for experienced TVA volunteers who can fill in for a variety of volunteer positions in the case of no-shows or volunteer shortages. Positions may include tabling, cashiers, food fest info, volunteer check-in, cooking demonstrations, and veggie challenge crew.

Qualifications: Must be vegetarian or vegan. Must have experience volunteering with TVA, and must complete TVA’s Key Messages Online Training if not yet completed. Should be flexible, outgoing and have great customer service skills.

VEGGIE COSTUME AMBASSADOR

Duties: Wearing one of TVA’s fruit/veggie costumes to promote the Food Festival. Costume Wearers may be assigned in pairs (1 costume wearer and 1 assistant) to roam the site at the Food Festival and either distribute programs and vegetarian directories or encourage attendees to complete surveys, or they may be mascots at the Food Fest photo booth.

Qualifications: Must be friendly, outgoing, and willing to wear a costume. Must be willing to have your picture taken by Food Festival visitors.

VEGGIE COSTUME ASSISTANT

Duties: Roam the site at the Food Festival with a Veggie Costume Ambassador and either distribute Veg Guides or food fest programs, or encourage attendees to fill out surveys on an iPad.

Qualifications: Must be friendly and outgoing, and be willing to have your picture taken by Food Festival visitors.


 

Event Services

VENDOR SERVICES – CAPTAIN **special perks!**

Duties: Leading and overseeing Vendor Services and Food Fest Info and Fridge Assistant volunteers in the Vendor Services role for a full day or more at the Festival, delegating tasks such as booth inspections and fridge management, and stationed at the Vendor Services booth to distribute parking passes to presenters. Acting as a liaison between the Festival Assistant, the Festival Coordinator and vendors, communicating any problems or updates to the Assistant and Coordinator.

Time Commitment Required: Captains are expected to be on site at the Food Festival for at least one full day. During that day, they will be expected to spend the majority of their shift at the Vendor Services booth. Breaks can be taken throughout the day but the Food Fest Assistant and/or coordinator must be notified to with who will be stationed at the booth, and any fridge keys handed off.

Qualifications: Must have one or more years experience volunteering at the exhibitor services booth, and have strong problem solving and communication skills. Must be willing to meet communicate via phone or email with the Food Fest Assistant and Coordinator 2-3 times during the summer for further guidance and details about the position.

Special Perks: As the vendor services area will be the designated spot for speakers and chefs to check in when they arrive, vendor services captains may also be assigned to meet and greet Veg Food Fest speakers and chefs and provide any instructions or info they may require. A great opportunity to meet popular plant-based chefs and speakers!

VENDOR SERVICES

Duties: Respond quickly to vendor inquiries or communicate specific vendor inquiries to the Vendor Services Captain. Inspect vendor booths to make sure they are in compliance with Food Festival Exhibitor Vendor Policies. You may also be assigned with monitoring the fridge and freezer areas during the set up at the festival.

Qualifications: Good verbal communication skills, exceptional time management skills and professional demeanour. General knowledge of the Festival’s layout and past vendors is an asset.

FOOD FEST INFO AND COOL STORAGE ASSISTANT

Duties: Be the go-to person to provide information and answer questions about the Veg Food Fest, such as locations of various vendors and special areas, times of speakers and cooking demonstrations, etc. Distribute Veg Food Fest programs and Veg Guides, and encourage completion of attendee survey. You may also be a keyholder to one of the vendor fridges, and assist vendors by providing them with fridge access and answering questions they may have.

Qualifications: Must be friendly and outgoing and have excellent sales and customer service skills. Must review closely the Veg Food Fest website ahead of the event to become familiar with exhibitors and special events. Please be aware this position requires being on your feet for the duration of the 3 hour shift. Volunteers in this role may be stationed at one of the outdoor fridge spots, or asked to roam around the site.  General knowledge of the Festival’s layout and past vendors and TVA membership is an asset.

Special Note: Volunteers in this position have the option of wearing a costume in this role if you would like to.

FOOD FEST RUNNER/FLOATER

Duties: Assist the Veg Food Fest coordinator and Veg Food Fest assistant with any last minute tasks needed on or off site, such as taking items to and from various areas of the site, running off-site to purchase last minute items from the convenience store, assisting vendors or speakers.

Qualifications: Must be energetic, independent, and able to follow instructions. Must deal well in a fast paced environment. This position may require the use of a walkie talkie and may require going off-site.

VOLUNTEER CHECK-IN ASSISTANT

Duties: Checking in and checking out TVA volunteers at the Food Festival, including providing instructions about their positions and distributing any necessary supplies. Communicating any major volunteer disruptions with TVA staff, and phoning volunteers to remind them of upcoming shifts.

Qualifications: Must be able to follow instructions and help volunteers in a friendly manner. Excellent customer service skills and a friendly, outgoing demeanour required. Must be able to problem-solve. All volunteer check-in assistants must be available to attend in person training.

PRESENTATION ASSISTANT

Duties: Distributing survey forms to visitors as they enter the presentation venue or stage area at the Food Festival, and assisting people with finding seats if needed. Counting the number of attendees at each presentation.

Qualifications: Must be able to follow instructions and be friendly and approachable.

SURVEY ASSISTANT

Duties: Invite and encourage attendees to take part in a brief survey about their Veg Food Fest experience. Assist attendees in using iPads to complete the survey.

Qualifications: Must be friendly and outgoing, good at engaging passing audiences. Must be familiar with use of iPads and be able to assist attendees with completing their surveys. Please be aware this position requires being on your feet for the duration of the 3-hour shift.

Qualifications: Must have one or more years experience volunteering at the exhibitor services booth, and have strong problem solving and communication skills. Must be willing to meet communicate via phone or email with the Food Fest Assistant and Coordinator 2-3 times during the summer for further guidance and details about the position.
